1. Purpose and Scope
This Payment Policy explains general billing and payment practices for NetFintax, a tax preparation, accounting, bookkeeping, and tax filing services firm located in Las Vegas, Nevada. It applies to payments for services we agree to provide, subject to the terms of a signed engagement letter, proposal, invoice, or other written agreement.
If an applicable signed engagement agreement conflicts with this website policy, the signed agreement controls to the extent permitted by law. This policy does not by itself establish a professional engagement.
2. Service Fees and Estimates
Fees may vary according to the service requested, complexity of the work, number of filings or entities, completeness of records, required research, and other engagement-specific factors. Any quote or estimate will identify its assumptions and may change if the scope of work changes.
We will communicate material additional fees or changes in scope for client approval before proceeding where required by our agreement or applicable law. A consultation request or website description is not a binding fee quotation.
3. Invoices and Payment Due Dates
Invoices may be issued before services begin, at agreed milestones, periodically, or when services are completed, depending on the engagement. Each invoice or signed agreement will state the amount due, applicable payment deadline, and any required deposit or retainer.
Clients should pay by the stated due date and promptly notify us of billing discrepancies. Unless otherwise agreed in writing, NetFintax is not obligated to begin or continue work before a required payment is received, subject to applicable law and professional responsibilities.
4. Accepted Payment Methods
Available payment methods will be shown on the invoice, payment page, or written payment instructions. Depending on the engagement and systems in use, methods may include eligible credit or debit cards, electronic bank payments, checks, or other methods specifically authorized by NetFintax.
Do not send card numbers, bank passwords, Social Security Numbers, or other sensitive payment credentials by ordinary email or a general website contact form.
Payment method availability is not guaranteed until confirmed in our payment instructions.
5. Payment Processing and Security
Payments may be processed by third-party financial institutions or payment service providers. Such providers may apply their own terms, privacy policies, verification checks, and fraud prevention measures. NetFintax does not guarantee the availability or processing time of any payment network.
We will handle payment information in accordance with applicable law and our Privacy Policy.
Use only payment links and instructions confirmed as authentic by NetFintax. Please contact us through a verified channel if payment instructions unexpectedly change.
6. Deposits, Retainers, and Advance Payments
Some engagements may require a deposit, retainer, or other advance payment. The amount, timing, application to future invoices, and whether any portion is refundable will be specified in the engagement agreement or written payment terms.
Advance payment does not guarantee a particular tax result, refund, agency acceptance, or service completion date. Any treatment of unearned amounts remains subject to the written agreement and applicable law.
7. Taxes, Government Fees, and Third-Party Charges
NetFintax professional service fees are separate from any federal, state, or local taxes owed by the client. Payments to the IRS or other tax authorities are the client's obligations unless a separate written arrangement expressly provides an authorized payment process.
Government filing fees, software charges, bank fees, expedited processing fees, and other third-party charges may apply where disclosed. NetFintax does not set or control government-imposed amounts, tax assessments, penalties, or interest.
A payment to NetFintax is not automatically a payment of taxes to a government agency.
8. Tax Refunds and Refund Timing
A tax refund from the IRS or a state agency is distinct from a refund of NetFintax service fees. Government authorities determine tax refund eligibility, amount, processing, offsets, and disbursement timing. NetFintax cannot promise a particular refund amount or arrival date.
Unless specifically authorized and agreed in writing under applicable law, NetFintax does not receive or hold a client's government tax refund as payment for its services.
9. Cancellations and Service Fee Refunds
Cancellation requests should be submitted promptly in writing. Whether a client is eligible for a refund of NetFintax service fees depends on the engagement agreement, work already performed, nonrecoverable third-party expenses, and applicable law.
Where permitted by law and the engagement terms, fees for completed work or incurred costs may remain payable even if the client cancels. We will review billing concerns individually and provide an explanation of any applicable refund or outstanding balance. This policy does not promise an automatic or unconditional refund.
10. Failed Payments, Returned Payments, and Past-Due Accounts
If a payment fails, is reversed, or is returned, we may request another authorized payment method and may pause future work as permitted by the engagement agreement, applicable law, and professional duties.
Late charges, returned-payment fees, or collection costs will be imposed only if expressly disclosed in an applicable agreement and permitted by law. We will not automatically add undisclosed fees. Clients remain responsible for meeting tax deadlines even when a billing dispute or payment issue is unresolved.
11. Disputed Charges and Chargebacks
If you believe an invoice or payment is incorrect, please contact NetFintax promptly with the invoice number, transaction date, and a description of the concern. Do not send full payment card or bank account numbers.
You may also have dispute rights under your cardholder agreement or applicable law. Nothing in this policy limits statutory billing dispute rights. An unjustified reversal does not automatically eliminate payment obligations for services validly performed.
12. Recurring and Ongoing Services
Bookkeeping, accounting, payroll-related support, or other ongoing engagements may be billed periodically. Any recurring fee, billing interval, renewal conditions, cancellation process, and authorization for automatic payments will be stated separately before charges are made.
NetFintax will not treat this general policy alone as authorization to enroll a client in automatic recurring payments.
13. Billing Accuracy and Records
We may provide invoices, receipts, and payment confirmations electronically or through other agreed channels. Clients should review billing records and notify us of apparent errors. We may retain transaction and billing records as required for accounting, tax, security, and legal purposes.
Requests for invoice copies or clarification may be directed to the contact information in Section 16.
14. No Guarantee of Tax or Financial Outcomes
Payment for professional services does not guarantee a tax refund, deduction, credit, savings amount, audit result, filing acceptance, or any other specific outcome. Government determinations and processing times are outside our control.
Client responsibilities, filing authorizations, deadlines, and the scope of professional work are governed by the applicable engagement agreement and law.
15. Changes to This Policy
We may update this Payment Policy to reflect operational, payment processor, or legal changes. The updated version will display a revised date. Material changes to an existing engagement's agreed fees or payment terms will be handled according to the engagement agreement and applicable law; publishing a new website policy alone does not retroactively change signed payment obligations.
